Position Summary

The Loan Department Coordinator is responsible for providing administrative and operational support to the Senior Director of Lending, Mortgage Loan Director, and Consumer Loan Director. This role ensures smooth coordination of meetings, documentation, and follow-ups to keep loan operations efficient and organized. The ideal candidate is highly organized, detail-oriented, and proactive in managing tasks to support the department’s goals.

Duties & Responsibilities

  • Schedule and organize meetings for loan department leadership.
  • Prepare agendas and necessary materials before meetings.
  • Ensure key participants are informed and available for any meetings.
  • Set up meeting spaces, including A/V equipment, Zoom coordination, refreshments, and hospitality needs.
  • Attend meetings, take detailed notes, and document key discussions.
  • Identify and track action items, assigning responsibilities as needed.
  • Follow up with team members to ensure action items are completed.
  • Distribute meeting notes and action item updates to attendees promptly.
  • Keep loan department projects and initiatives on track by monitoring deadlines and progress.
  • Assist in compiling reports and data relevant to loan operations.
  • Serve as a point of contact for communication within the loan department.
  • Plan and coordinate team events, including logistics, scheduling, and vendor arrangements.
  • Maintain organized records of meetings, reports, and department documentation.
  • Coordinate travel and logistics for the Department Leaders as needed.
  • Perform other administrative tasks to support the loan department’s functions.

Skills & Qualifications

  • Associate’s or Bachelor’s degree in Business Administration, Finance, or a related field preferred.
  • Prior experience in a banking or lending environment is a plus.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Experience in scheduling and managing meetings.
  • Ability to take accurate and comprehensive notes.
  • High attention to detail and ability to multitask.
